Case Study · Choose Love Solutions

A new brand launched with its client system already running

Choose Love Solutions, a bookkeeping and tax practice, launched its new brand with a SuiteDash portal that handles intake, onboarding, engagement letters, client tasks, tax reminders, and billing from day one.

Trigger: A new brand and an onboarding process run by emailIndustry: Bookkeeping & Tax
Key result
New clients go from the website intake form to a signed engagement letter and a booked first meeting on their own

One onboarding flow carries every new client through registration, e-signature, scheduling, and document submission, with the practice's folders and task list created automatically along the way.

Who this was for

A small bookkeeping and tax practice, run by its principal with support staff, serving individual and small business clients through tax season and the rest of the year.

Situation
  • Onboarding a new client took a series of emails and manual steps: the engagement letter, the first meeting, and the documents all had to be chased one at a time.
  • Work for each client was tracked by hand, with no shared task list or reminders for the principal, staff, or clients.
  • The practice was launching a new brand and wanted every client touchpoint, from intake to invoice, to look and feel consistent.
Our approach

What we did

  1. 1
    Confirm the plan

A focused 30-minute working session to set priorities, check each feature against SuiteDash, and agree on the integrations before building.

  2. 2
Build the branded portal and onboarding

A client portal in the new logo and brand colors, an intake form on the practice's website, the engagement letter set up for e-signature, and one onboarding flow that runs from registration to the first meeting. A folder generator and a project generator (templates that create each client's folders and task list) set up every new engagement the same way.

  3. 3
    Connect email, calendar, and billing

Email and calendar connected to the practice's Google account, a meeting type for first consultations, an automated email sequence for tax deadline reminders, and Stripe invoicing with a standard service item and a subscription. Then system documentation, a 30-minute training session, 5 business days of follow-up support, and a monthly managed services plan.

Results

More from this engagement

Onboarding runs without the email chain

The engagement letter, first meeting, and document requests all happen inside one guided flow, so new clients get started without the principal sending each step by hand.

Everyone knows what's theirs to do

Clients and staff each get their tasks and reminders from the same template, so work for every engagement moves forward on schedule.

Clients hear about deadlines before they're urgent

An automated email sequence sends tax date reminders to the client list, so last-minute scrambles become the exception.

Billing is set up once

Invoices and a recurring subscription are paid online through Stripe, so collecting fees no longer depends on someone remembering to send a bill.

How we built it

Under the hood

Before the build, the practice onboarded clients through email: sending the engagement letter, finding a time for the first meeting, and asking for documents were separate, manual steps. With a new brand on the way, it made sense to launch the brand and the client system together.

On the client side, a new client registers through the intake form on the practice's website, signs the engagement letter online, books the first meeting from the practice's calendar, and submits documents through the portal. From then on, the portal is their single place for information about their services, shared files, and messages.

On the staff side, each new engagement gets its folders and task list from templates, with tasks and reminders assigned to the principal, staff, and the client. Email goes out through the practice's own Google account and meetings sync to its Google calendar, so the portal fits the tools the practice already used.

After hand-off, the practice ran its clients on the system with documentation to work from and 5 days of support for the first questions. A monthly managed services plan covers small changes and improvements as the practice grows.

What changed

The practice launched its new brand with the busywork already handled. Every client signs up, signs, and books the same way, deadline reminders go out on their own, and billing runs on a schedule instead of a to-do list.
